A leading automotive parts manufacturer was challenged with growing inefficiencies and delays in sales order processing. Handling hundreds of daily orders from distributors, workshops, and retailers through a legacy process led to frequent errors, processing delays, and missed requests. The lack of a centralized system made tracking and validation difficult, increasing operational costs and impacting customer satisfaction. To improve efficiency, accuracy, and order fulfillment speed, our client needed an automated solution that seamlessly integrated with their existing SAP system.
Requirement
The client required a comprehensive telemedicine solution that seamlessly connects clinics, laboratories, and healthcare practitioners. The solution needed to integrate advanced AI/ML capabilities to enhance diagnostic and operational efficiency. Additionally, it was essential to include both chat and video conferencing functionalities to facilitate real-time consultations and communication between patients and healthcare providers.

Challenges
With very high customer footfall—ranging between 500 to 1,000 customers per outlet in a day, managed by 75 to 100 staff— existing invoicing process was slow and effort prone. The client’s existing system, Microsoft Dynamics AX, lacked integration with the centralized billing system, leading to redundant data entry and significant delays in invoice processing.

The sales team manually processed orders received in XML, spreadsheets, and emails, making data entry prone to errors and duplication. The lack of automation slowed down processing, causing delays in order fulfillment.

Without a centralized system, tracking order status was difficult, leading to missed requests and unfulfilled orders. The absence of visibility increased operational costs and disrupted the sales workflow.

There was no structured process to differentiate between product inquiries and confirmed orders. This inefficiency caused delays in approvals, real-time inventory validation, and order execution, impacting overall responsiveness.

Solution
Power Automate-Enabled Sales Order Automation
To eliminate these inefficiencies, we implemented an automated Sales Order Management System powered by Power Automate, fully integrated with SAP. As soon as a request is submitted, the system identifies whether it is a product inquiry or a confirmed order. Orders are automatically validated, routed to SAP for processing, and updated in real time. Customers receive instant notifications with order status, estimated delivery timelines, and a live tracking link.

Medicine recommendations
Based on patients' symptoms, medicine recommendations will be provided to doctors for convenience of selection. This is done via an ML-trained recommendation engine.
AI Enabled Chatbot
A chatbot is supplied to patients to answer simple questions utilizing the LLM model. The Chatbot will provide basic guidance and direct users to the appropriate Doctor/speciality.
