Client Brief
Our client is a leading international airline headquartered in the Middle East, known for its expansive operations across 25+ countries and a workforce comprising thousands of employees from diverse geographies. Operating in a highly regulated and fast-paced industry, the airline manages a wide range of employee roles from ground staff and cabin crew to engineering and corporate teams. The airline has to maintain full compliance with region-specific insurance norms and policy structures. With such operational breadth and geographic diversity, managing employee insurance across borders had become increasingly complex, with fragmented processes, inconsistent compliance practices, and limited visibility across regional operations. This made it critical to transition from disconnected manual tracking to a unified digital ecosystem that could support global insurance governance at scale.
Challenges
The airline’s insurance operations were handled manually across various departments using spreadsheets, emails, and siloed systems, and lengthy sign-off procedures. With a growing employee base across multiple countries, this decentralized, and terminal-based method posed several operational and compliance-related risks. These challenges not only impacted internal productivity but also exposed the airline to compliance risks and strained relationships with insurance providers.
No centralized visibility
Insurance data was scattered across local offices, making it difficult to monitor active policies, employee coverage, or pending invoices globally.
Delayed processing
Missing documents, untracked invoices, and manual follow-ups often resulted in significant delays in policy approvals and claim settlements
Country-specific complexity
Each region followed different regulatory and insurance policy structures, making it difficult to standardize processes or ensure timely renewals and endorsements.
Manual approval dependencies
Every endorsement, payment, or renewal required multiple levels of manual follow-up, often leading to bottlenecks, especially at leadership levels.
Disjointed systems
Lack of integration with existing HR systems resulted in data duplication and manual syncing, increasing the risk of errors and inefficiencies.
